Exporting Employee Data
In addition to attendance and leave reports, OpenHR allows you to export your employee directory data in two formats.
How to Export from the Employee Directory
Navigate to Employees from the sidebar. You'll find export options at the top of the page.
CSV Export — For Data Analysis
Click "Export CSV" to download a spreadsheet containing:
- Employee ID
- Full Name
- Department
- Designation
- Role
- Team
- Status (Active/Inactive)
- Joining Date
- Contact Information
The CSV file can be opened in Excel, Google Sheets, or any spreadsheet application for data analysis and reporting.
PDF Export — For Stakeholder Sharing
Click "Export PDF" to generate a formatted document that includes:
- Your organization's logo and name at the top
- A summary table with total employee count, department breakdown
- Employee listing with all key fields
- Generation date for record-keeping
The PDF is ideal for printing or sharing with stakeholders who need an official employee roster with organization branding.
Tips for Employee Data Export
- Use search filters before exporting to narrow down to specific departments or roles.
- PDF exports include organization branding automatically — no manual formatting needed.
- CSV exports are best for data analysis; PDF exports are best for sharing and archiving.
